Studio Coordinator

Jam Filled is looking for a Studio Coordinator to be the face of our Ottawa studio and help support different departments throughout Jam Filled. 

This position is full-time in-house (Monday-Friday) at our Ottawa studio location.  
 

Your responsibilities will include: 

Office Management 

  • Receiving and planning for Jam Filled clients and guests 

  • Shipping, receiving and distribution of mail 

  • Management of relationships with external suppliers and landlord, including invoice tracking, through to approval and payment 

  • Monitoring and management of supplies, as well as overall cleanliness of the studio 

  • Oversight and monitoring of Ottawa studio security system 

  • Providing in-studio orientations and security demos for new hires and staff 

  • Assisting IT with departure tickets and coordinating equipment pickup/drop-off. 

  • Workplace Health & Safety Committee duties 

  • Other office duties, including some remote support for our Halifax office, as required 


Jam Filled Leadership Support 

  • Support with booking and coordinating travel schedules for Jam Filled Senior Leadership Team 

  • Assisting with space planning within the studios 

  • Working with the Director of Creative Operations to help plan, lead and execute both internal and external events and outreach (may require some work outside of regular working hours) 

  • Contributing to, coordinating and scheduling learning & development initiatives 

  • Helping to coordinate various ongoing and new promotional campaigns, including gathering and creating content for internal and external media use 

  • Other support duties, as required 


This will be your JAM if you: 

  • Are a well-organized, detail-oriented person with a strong administrative background 

  • Are a creative person who thrives in working with and supporting artists 

  • Have an empathetic and supportive nature and are strong relationship-builder 

  • Have excellent written and oral communication skills and work well in a shifting, fast-paced environment 

  • Have previous experience with social media marketing and management and/or a keen interest in design (preferred) 

  • Have a working knowledge and/or previous experience working in a production environment (preferred)
